Realising that a share certificate is missing or damaged is a stressful moment for any investor. However, it is important to remember that the document itself is proof of ownership, not the ownership itself. Your investment remains secure in the registrar’s records, provided you take the right steps to update them.
The Recovery Process
If you cannot locate your certificate, here is the good news: In line with directives from regulatory authorities to phase out physical share certificates and transition to a fully electronic system, investors who have lost their certificates are encouraged to take the following steps:
- Open a stockbroking account with a licensed firm.
- Obtain a CHN (Clearing House Number) from CSCS (Central Securities Clearing System).
- Visit the company’s Registrar to formally lodge a complaint about the lost certificate and request a Full Dematerialisation Form.
- Complete the form and submit it through your stockbroker for processing.
A Permanent Solution: Dematerialisation
The underlying risks of holding paper records are that physical certificates remain vulnerable to fire, theft, and simple misplacement. To avoid these risks entirely, we recommend that investors transition to dematerialisation. This process converts physical certificates into a secure electronic format held within the Central Securities Clearing System (CSCS).
Upon successful verification, the shares will be credited directly into your CSCS account in electronic form, eliminating the need for a physical certificate and enhancing the security of your holdings.
The benefits of a digital portfolio include:
- Security: Eliminates the risk of physical loss or environmental damage.
- Efficiency: Transactions, transfers, and sales are processed significantly faster.
- Reliability: Digital records simplify the e-dividend mandate process, ensuring your returns are credited without the delays associated with physical mail.
